In this article we will have a closer look at how users with leader or administrator status can use the time sheet to get an overview over the time usage of other users and how to approve time sheets employees have registered in the system.
For more information on how to register a timesheet, please see our support article "Timesheet - Registration (mobile)".
To access til timesheet tool, first click "HRM" in the top menu and then choose "Timesheet" in the dropdown menu.
In the timesheet tool you will see an overview over all the timesheets registered in the past two weeks. You will see information on which employee who made the registry, what week number this was recorded, the date, time period, department, task, commentary, type, number of hours and number of minutes break time.
If you want to change what time period you are viewing you can use the date field in the top right corner of the list.
In the menu on the top of the list you can choose to mark all entries, you can approve the timesheets you have selected by clicking "Approve hours" and you can filter what employee(s) or projects you want to show timesheets for. You can also choose to register a timesheet for another user bu clicking "Add with todays date" or choose another date to register a timesheet by clicking the calendar symbol.
For a timesheet to be included in the salary report the system generates the timesheet must be marked as "Approved". When an employee register a timesheet in the system it will have the status "Not verified" by default. When you approve timesheets you have two options, you can approve one timesheet at a time or you can approve multiple timesheets at once.
To approve a timesheet you simply click on the status on the right of the row. This will be marked "Not verified" by default. When you click the status for the timesheet you want to approve you can change it to "Approved hours".
If you want to approve all timesheets in the list at the same time you can mark all of them by checking the empty checkbox in the upper left corner of the top menu and then click the button "Approve hours". If you want to mark multiple, but not all, timesheets in the list you mark the ones you want to approve by checking the checkboxes on the left hand side of the relevant rows. Then you click the "Approve hours" button.
If your company uses add-on options in the timesheets you can view and edit what add-ons your employees have entered in the timesheet by clicking the paper symbol to the right of the status on the row in question. The add-ons which is marked in blue is added to the timesheet, and you can mark or unmark them by clicking on them. Press "Add" to finish.
