The function "Employees" is one of the most essential features in GO Digital. This is where you create new user accounts to your employees and deactivate an account when an employee leaves the company. In addition to this you can add or edit contact details and other useful information regarding your employees.
This tool is also constructed in a way that it makes sure that the information you store about your employees is according to the GDPR-rules. It is very important that all gathering and storage of such information is done in accordance with GDPR, if not you risk breaking the law.
To access the "Employees" page you choose "HRM" in the top menu and then "Employees".
Here you will find an overview over all the company's registered users, their contact information and their employment status. If you have a large number of users registered in your system you can search for specific users by using the search field on the left hand side.
In order to register å new user, click the plus symbol (+) in the upper right corner.
A form will appear where you fill in relevant information about the user. Please notice that the user information will be sent to the e-mailadress and phone number that the user is registered with.
IMPORTANT! It is very important that the employee number you give each user is identical with the employee number the user is registered with in your salary/accounting-system. These numbers need to match in order for the automatic salary report to work properly. If you are unsure about your users employee numbers, contact you accountant or the person responsible for salaries in your business.
Click "Save" and the registration is complete. The user will now receive his user information in an e-mail and a text message.
To view and register or edit more information about a user you can access a specific users profile in the Employee overview. Click on the name of the user you want to edit.
In the top of the user profile you will see 3 tabs: "Personal", "Work" and "Dialogs".
"Personal" lets you see and edit information like contact details and account numbers. You can also register the users children. This is very useful, as the system uses this information to automatically calculate the number of days an employee can be absent due to sick children. This will be shown when the employee is registering his/her absence in the absence reporting module.
"Work" contains information which is relevant for the users employment in the company, for example title, responsibilities and salary. Here you can also change the status of the employee and you can choose to terminate the users employment. The user will then no longer be able to access his/hers account in the system.
"Dialogs" lets you save all dialog with specific users in an easy and efficient way. For example, you can upload records of appraisals and similar documents, so that these are safely stored in the cloud.
